Job Description

Responsibilities:

  • Manage flight ticket bookings, hotel reservations, and travel arrangements for management or staff
  • Handle travel insurance and coordinate office-related insurance matters
  • Manage and monitor office contracts, including rental agreements, lift maintenance, photocopy machine contracts, pest control, and other service agreements
  • Follow up with vendors, building management, utility providers, and service providers on office matters such as water supply, maintenance, repairs, renewals, and other operational needs
  • Source, purchase, and monitor office supplies and pantry items to ensure sufficient stock 
  • Handle incoming and outgoing parcels, courier arrangements, and deliveries 
  • Liaise with vendors and suppliers to obtain quotations, compare pricing, and coordinate services 
  • Maintain proper records for contracts, renewals, invoices, insurance documents, and office-related correspondence 
  • Support payment processing by coordinating invoices, purchase requests, and admin documents with the finance team 
  • Oversee office cleanliness and ensure the office cleaner is carrying out duties properly 
  • Coordinate pest control and other office maintenance services to keep the workplace safe and comfortable 
  • Assist in organizing meetings, appointments, and general office logistics 
  • Ensure the office is well-maintained, functional, and properly equipped for daily operations 
  • Provide general administrative support and handle ad hoc tasks assigned by management

Requirements:

  • SPM, Diploma or Degree in Business Administration or a related field.
  • Excellent organizational and multitasking abilities.
  • Strong interpersonal and communication skills.
  • Proficiency in Microsoft Office Suite.
  • Attention to detail.
  • Possesses problem solving skill.
  • Fluency in Bahasa Malaysia and English is required. Proficiency in spoken and written Mandarin is highly desirable to support 
  • Mandarin-language communication and content needs.
  • Ability to work collaboratively and maintain a positive attitude in a fast-paced environment.
  • Possess own transport.
